Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly Maintain organized filing systems, both physical and digital, ensuring easy access to documents and records Perform data entry tasks with accuracy using computer literacy tools such as Microsoft Office and Google Workspace Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Assist with calendar management, scheduling appointments, meetings, and coordinating events for team members Provide exceptional customer service by responding to inquiries via phone or email and supporting client needs with professionalism Proofread documents for accuracy and clarity, ensuring all communications are polished and error-free Support office management tasks such as supply ordering, maintaining office equipment, and organizing workspace logistics Handle clerical duties including filing, photocopying, scanning, and preparing reports as needed Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks for bookkeeping and financial record keeping Excellent phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to support diverse client interactions Strong typing skills with high accuracy for data entry tasks Knowledge of medical or dental receptionist procedures is a plus but not required Experience in customer service roles with a focus on customer support and support-oriented communication Ability to manage time effectively in a fast-paced environment while prioritizing tasks efficiently Personal assistant or office management experience is advantageous for handling calendar management and administrative duties Join us in creating an energetic workplace where your organizational talents will shine!
