Job Description

Job Summary We are seeking a dynamic and highly organized Coordinator to join our team! In this vital role, you will serve as the central hub for office operations, ensuring seamless communication, efficient scheduling, and effective management of administrative tasks. Responsibilities Manage and coordinate daily schedules, appointments, and meetings to optimize team productivity. Oversee vendor relationships, including scheduling services, processing invoices, and maintaining accurate records. Assist with event planning and execution for company meetings, training sessions, and special events. Supervise administrative staff or interns, providing guidance and support in their daily tasks. Handle human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes using QuickBooks or similar software. Maintain accurate bookkeeping records, manage budgets, and perform basic office accounting duties. Support office management activities including filing systems, front desk operations, multi-line phone systems, and calendar management. Facilitate communication across departments through clear correspondence and effective phone etiquette. Coordinate with medical or specialized offices if applicable, ensuring smooth medical office management or clerical workflows. Assist with training & development initiatives to foster team growth and improve operational efficiency. Qualifications Proven experience in office administration or coordination roles with strong organizational skills. Demonstrated supervisory experience managing teams or projects effectively. Proficiency in QuickBooks for bookkeeping and payroll processing is highly desirable. Experience with event planning, vendor management, and schedule coordination. Familiarity with human resources procedures including onboarding and employee record management. Strong communication skills coupled with excellent phone etiquette and customer service orientation. Ability to multitask efficiently using multi-line phone systems and calendar management tools. Prior experience in medical office management or related fields is a plus but not required.
