Opportunity The Bridge Group is seeking a Workplace Coordinator Intern to support daily office operations for our client in Dublin, CA. The Workplace Coordinator Intern supports the day-to-day operations of the workplace, ensuring a seamless and well-functioning office environment. This internship is ideal for someone eager to build a career in workplace services, facilities, or project coordination within a fast-paced corporate setting. This internship offers hands-on exposure to workplace systems, vendor coordination, and real estate project support. The ideal candidate is located in or near Dublin, CA (housing is not provided) and is detail-oriented, tech-savvy, and motivated to learn. This position is temporary with the possibility of extension to permanent FTE. Graduating seniors preferred.
Key Responsibilities include:
Facilities Operations & Service Coordination Monitor the ticket request and work order systems, ensure timely completion and closure of all requests. Track progress, identify bottlenecks, and escalate issues as required. Assist with meeting, conference room, and event set-ups and breakdowns. Financial Administration & Purchasing Enter, coordinate, and track departmental purchase requests and purchase orders (POs) within designated procurement systems. Generate purchase orders and assist with processing vendor invoices, using automated validation tools to ensure accuracy, compliance, and proper documentation. Administer cross-charge processing for Dublin and White Plains expenses and maintain audit-ready records. Real Estate & Lease Administration Maintain and update real estate, lease, and occupancy data in centralized systems to support accurate reporting and compliance tracking. Assist with coordination of lease-related data, key dates, and reporting requirements using digital tools. Technology Tools & Digital Enablement Coordinate the implementation, rollout, and day-to-day use of new facilities, workplace, and building technology tools (e.g., ticketing systems, space management tools, asset tracking platforms, vendor management systems). Support change management activities related to new technology deployments, including communications, basic user guidance, and issue tracking. Vendor, Landlord & Stakeholder Coordination Collect, verify, and coordinate vendor documentation (insurance, compliance certificates, contracts) using digital document management tools. Work with landlords, tenants, and service providers to ensure consistent implementation of procedures, policies, technology platforms, and reporting formats. Reporting, Analytics & Continuous Improvement Develop and maintain reports, transaction logs, dashboards, and tracking tools for work orders, expenditures, vendor performance, and service levels. Use AI-enabled analytics or reporting tools to identify trends, recurring issues, and opportunities for operational improvement. Provide timely, data-driven updates to Facilities and Real Estate leadership. Required Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred 0-2 years of experience in an administrative, coordinator, or customer service role Strong interest in workplace services, facilities, or project management Tech-savvy with the ability to quickly learn new systems (SAP experience a plus, but notrequired) Proficiency in Microsoft Office (Excel, Outlook, Word) Strong attention to detail and organizational skills Excellent communication and interpersonal skills Ability to manage multiple tasks and priorities in a fast-paced environment Positive attitude and willingness to learn
