We are looking for a dependable, organized, and professional Office Auxiliary / Administrative Assistant to support our daily office operations, customer communication, dispatching, data entry, invoicing, and general office management tasks. This role is ideal for someone who is detail-oriented, coachable, comfortable speaking with customers, and willing to help wherever needed in a busy service-based office. Position Summary The Office Auxiliary will help keep the office running smoothly by answering phones, scheduling and dispatching technicians, entering job information, preparing invoices, following up with customers, and assisting with miscellaneous administrative duties. This position also includes light office upkeep, organizing supplies, maintaining a clean front office/work area, and supporting management with day-to-day tasks. Key Responsibilities Answer incoming phone calls in a professional and courteous manner. Assist customers with scheduling, basic service questions, appointment confirmations, and follow-ups. Create, update, and maintain customer records, job notes, estimates, invoices, and service information. Dispatch technicians and help coordinate daily schedules. Communicate with technicians regarding job details, customer needs, parts, and schedule changes. Prepare and process invoices accurately and on time. Follow up on open jobs, pending invoices, missing information, and customer requests. Assist with Home Depot-related service and installation coordination when needed. Maintain organized digital and physical records. Support office manager activities, including filing, organizing, ordering supplies, and keeping the office clean and presentable. Help maintain a professional and welcoming office environment. Assist with miscellaneous administrative duties as assigned by management. Qualifications Previous office, dispatching, customer service, or administrative experience preferred. Comfortable answering phones and speaking with customers. Strong attention to detail and ability to enter information accurately. Basic computer skills required. Ability to learn scheduling, invoicing, and job management software. Organized, reliable, and able to manage multiple tasks during the day. Professional attitude and willingness to take direction. Ability to work independently and as part of a small team. Bilingual English/Spanish is a plus, but not required. Experience in garage doors, construction, trades, service companies, dispatching, or Home Depot-related work is a plus.
