This position is ideal for someone who enjoys working in a fast-paced office environment, providing outstanding customer service, and ensuring administrative tasks are completed accurately and on time. The successful candidate will serve as the primary administrative support for the office by answering phones, greeting clients, preparing and organizing legal document packets, coordinating mailings, assisting with court filing logistics, and maintaining organized client files. While this position works closely with clients, it is strictly an administrative role. No legal advice or legal opinions are provided by this position. We are looking for someone who is dependable, professional, detail-oriented, and interested in growing with a company that values integrity, organization, and exceptional customer service. Primary Responsibilities Answer incoming telephone calls professionally and direct inquiries appropriately. Welcome clients and visitors to the office. Schedule appointments and maintain office calendars. Prepare, print, organize, scan, and assemble client document packets. Prepare certified mail, USPS, FedEx, and UPS shipments. Receive, sort, and distribute incoming mail. Coordinate court filings, process servers, and document deliveries. Deliver documents to local courthouses, government agencies, or other offices as directed. Maintain accurate electronic and paper filing systems. Monitor office supplies and place supply orders when needed. Keep the reception area and office organized and presentable. Maintain confidentiality of all client information. Complete daily administrative tasks assigned by management. Qualifications Excellent organizational and time management skills. Strong verbal and written communication abilities. Spanish speaking. Professional appearance and positive attitude. Ability to multitask and work independently. Proficient with Microsoft Office, Google Workspace, Adobe Acrobat, and basic office technology. Valid California driver's license and reliable transportation. Ability to lift and transport document boxes weighing up to 25 pounds. Prior legal office or administrative experience is preferred but not required. This Position Does NOT Include This is an administrative support position only.
