Administrative Assistant Quick Hands Logistics Inc. - 3.0 Gardena, CA Job Details Full-time $20 - $25 an hour 1 hour ago Qualifications Sales support Spreadsheets Manufacturing facility Attention to detail Organizational skills Productivity software Shipping documentation Full Job Description QHL Staffing is searching for a fill-in Administrative Assistant who will perform office administration and customer order management while our full-time employee is out on 3-6 months of leave. This is a full-time, hourly, non-exempt position that reports to the Plant Manage. Responsibilities and requirements are shown below.
RESPONSIBILITIES
  • Provide shipment documentation for customer pickups, and ensure shipment documents, and BOLs are transferred to headquarters for invoicing in a timely manner.
  • Maintain shipment appointment schedule for incoming and outgoing deliveries, and ensure carrier appointments are updated based on inventory availability
  • Receive orders for finished goods from the company order desk personnel, track them in the Finished Goods inventory files, and advise availability based on inventory and outstanding orders.
  • Maintain and distribute the FG inventory file each morning to the operations group for optimal decisions about transfers, production schedules, and shipments releases, including input from the QC lead about released/on hold product, and the plant manager about each day's production and the next five days production forecast.
  • Coordinate with shipping personnel to ensure documentation of incoming and outgoing shipments of additives or finished goods, tracked in the raw materials and finished goods inventory files.
  • Maintain and keep clear the open order backlog including communication with the order desk on open orders waiting for pickup.
  • Assist in answering phones and emails in a courteous and prompt manner as well as routing the calls to the appropriate personnel.
  • Perform office management functions including maintaining office supplies, printing/copying support, telephones, and meeting and event coordination.
  • Function as a customer service support resource: o Work with the plant personnel to be informed of available inventory.
o Communicate well with the company Sales Team regarding any problems or concerns our customers may have. o Learn and utilize On-Base to be able to access order documentation and understand order workflow. o Manage an effective "Hot Rush" order process utilizing company's Microsoft Dynamics GP system for after hours and emergency order management for local customer base. o Track down missing documentation and be a liaison between local customers and company Order Desk. o Route all technical calls to our Technical Service Representatives.
  • Other duties as assigned.
QUALIFICATIONS
  • Bi-Lingual.
  • A flexible, can-do attitude with customer orientation and strong dependability.
  • Must have a sense of urgency, reliable, punctual, well-organized, and be a self-motivator who works well alone and with others.
  • Previous customer service experience in manufacturing is a plus.
  • Must have excellent computer skills, including Microsoft Office, with particular emphasis in Excel
  • Strong organization and communication skills
  • Detail-oriented with an ability to multi-task
  • Ability to work independently and manage multiple projects
PHYSICAL DEMANDS
