Full-Time About the Role We are seeking a detail-oriented Construction Administrative Assistant to support day-to-day operations for a client working on multifamily and commercial development projects in the Los Angeles area. This on-site role is ideal for someone with hands-on construction industry experience who thrives in a fast-paced job site or field office environment and can juggle documentation, coordination, and communication across project teams. Key Responsibilities Provide administrative support to project managers, superintendents, and field staff Prepare, organize, and maintain project documentation, including submittals, RFIs, change orders, and daily reports Track subcontractor certificates of insurance, licenses, and compliance documentation Assist with scheduling meetings, site visits, and inspections Maintain accurate project files (digital and physical) and ensure documents are properly logged and distributed Coordinate communication between the field office, subcontractors, vendors, and clients Support procurement processes, including purchase orders and material tracking Assist with certified payroll documentation and compliance reporting as needed Take meeting minutes and distribute action items Perform general office duties: answering phones, managing correspondence, ordering supplies Requirements Qualifications Minimum 3 years of administrative experience specific to the construction industry (multifamily or residential development experience strongly preferred) Familiarity with construction terminology, workflows, and documentation (RFIs, submittals, change orders, etc.) Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction management software (e.g., Procore, Buildertrend) a plus Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to work independently and manage multiple priorities in a deadline-driven environment Must be able to work on-site full-time in Los Angeles, CA Preferred Qualifications Experience supporting public works or prevailing wage projects Familiarity with certified payroll and Labor Compliance Program (LCP) requirements Benefits Client Benefits Paid Time Off (Sick & Public Holidays) Training & Development Performance Bonus Opportunities
