338 S. 4th Street Grover Beach, CA 93433 Job Summary The QA Administrative Assistant supports the Quality Assurance department by ensuring accurate documentation, traceability, calibration support, and timely processing of QA records and communications. This role plays a key part in maintaining organization, consistency, and visibility across QA processes, including MRBs, certifications, audits, and customer requirements, while supporting compliance with internal quality systems and external standards. Education and Experience Strong written and verbal communication skills. Discretion with sensitive or proprietary information Process-oriented and deadline-driven mindset Ability to work independently and cross-functionally in a team environment. Must have a strong work ethic, with a positive attitude and a willingness to learn. A minimum of a high school diploma or G.E.D. certificate is required. At least one (1) year of Microsoft Office software experience is required or completion of certificate Familiarity with Good Documentation Practices (GDP) preferred. Familiarity with industry standards such as
ISO 9001
preferred. Primary Job Duties Administrative /
QA Support:
Maintains QA documentation and records in accordance with document control requirements. Supports QA ticket system tracking, follow-up, and closure coordination. Assists in preparation for internal (1st party) and external (2nd/3rd party) audits. Prepares initial MRB/RMA complaint packages (background, business history, complaint history). Maintains logs for MRBs, RMAs, FAIRs, and customer audits. Supports vendor calibration activities, including RFQs, asset coordination, and backup support during calibration cycles. Manages stamp control and issuance agreements. Organizes, scans, and verifies production records in IntelliChief. Supports scheduling of calibration activities and device tracking. Assists with calibration device accountability and maintenance. Compiles QA calibration verification records. Supports data entry into customer portals as required. Manages QA device issuance and replacement. Assists in Management Review report preparation and compilation. Aids / supports other QA roles in respective efforts and/or projects as the QA Manager deems appropriate. Compliance /
Customer Requirements:
Prepares and processes compliance documentation (CMRT, EMRT, REACH, RoHS, etc.). Assists with customer surveys, audits, and quality questionnaires. Maintains records of customer-specific QA requirements and flow downs. Order /
Production Support:
Verifies inclusion of required QA documentation within manufacturing packages. Supports traceability requirements for materials, equipment, and test records.

Mathematical Skills The employee must have the ability to work with general business and technical mathematical concepts such as rates, ratios, percentages, angles, surface areas, and volume calculations. Computer Skills Must possess computer skills to navigate through an electronic resource planning (ERP) system and web-based platforms. Must possess strong proficiency in Microsoft Office suite of applications (Word and Excel). Physical Demands While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to talk or hear, and to use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, and reach with hands and arms. Must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, peripheral vision, and ability to adjust focus and have correctable to 20/20 vision.
