Job Description
This role supports the administrative functions of R.E.S.T.™ by scheduling clients and managing the office and CEO's calendar, as well as assisting the team with administrative tasks.
OUTCOMES
Administrative tasks, scheduling, sending and collecting intake and consent forms client communication, and ensuring records are completed accurately and on time. The client experience feels seamless, welcoming, and supportive from first contact through ongoing care. Team members receive dependable administrative and operational support that strengthens overall clinic flow and client care. Confidentiality, professionalism, and ethical standards are consistently maintained in all client interactions and documentation. Strong client trust and satisfaction, with clients feeling safe and clear on next steps, and supported throughout their experience by coordinating with the care team. Accurate, timely documentation, acknowledgment, and notification to the care team of communications, including failure to establish contact. Clear role boundaries and ethical practice while maintaining appropriate distinction between clinical, peer, and care team functions.ESSENTIAL DUTIES AND RESPONSIBILITIES
Self-Regulate and self-motivate. Maintain client confidentiality at all times. Operate efficiently in a fast-paced environment. Interact in person with clients regularly. Coordinate and orchestrate with R.E.S.T.™ care team Answer phone calls and emails directed towards R.E.S.T.™ Assist with planning and coordination of R.E.S.T.™ Events Relay CEO desires and instructions to appropriate team members Scheduling and Billing for Clients Point-person for R.E.S.T.™ Events (Afternoon/ Day/Weekend) Proactive annual scheduling of R.E.S.T.™ Monthly & Annual Events Schedule appointments for Independent Contractors Send Welcome Email/Upload Orientation Docs for New Clients Maintain physical Orientation Packets for New Clients Confirm client appointments through calls and/or texts Maintain database of all R.E.S.T.™ documents in SharePoint Daily Operations with Data Entry & Communication Make calls on lead list for scheduled events Make 3-point Client Service Calls - follow-up calls and event notification Attend All Events unless absence is previously discussed Maintain a fresh, clean office environment which includes sweeping floors, dusting or wiping down tables, counters, and flat surfaces, and removing trash from receptacles daily.SKILLS REQUIRED/ PREFERRED
Strong interpersonal and rapport-building skills: Ability to quickly build trust with diverse, often highly compromised clients. Understanding of R.E.S.T. and our approach.Crisis awareness and response skills:
Can recognize risk (suicidality, decompensation) and respond appropriately under supervision. Ability to follow instructions and structured protocols exactly as outlined with high attention to detail. Comfort with technology, including operating software and hardware systems Strong customer service orientation with a calm, professional presence Ability to multitask and manage client flow in a fast-paced environment Documentation and organizational skills: Able to complete timely, accurate clinical and/or insurance-compliant notes.Cultural humility and adaptability:

Associate's degree in a field, with a health/wellness focus preferred Professional experience in a customer service position or the health/wellness industry.DISCLAIMER
