Job Description

Overview We are seeking a highly organized and energetic Administrative Assistant to join our law office. We are a small, woman-owned, local firm that specializes in estate planning. The ideal candidate will be able to support daily office operations and provide exceptional customer service while maintaining the utmost confidentiality for our clients. We are a fast-paced office with a cloud based file and calendar system, so computer proficiency and the ability to multitask are essential. Office hours will be from 9am to 3pm, Monday through Thursday, with a one hour lunch break. Some flexibility with scheduled hours is available once you are able to work unsupervised after a probationary period. Hourly pay rate negotiable based on experience. Prior law office work experience highly desireable. Responsibilities Manage front desk operations, including answering phones with professional phone etiquette and taking detailed messages. Schedule appointments ensuring efficient time management and handle data entry tasks accurately and thoroughly using productivity software such as Microsoft Office Suite as well as our cloud based calendar and task system. Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client communication efforts with the attorney or other staff member. Perform clerical duties such as scanning all documents received or sent out, binding or shredding client documents, and managing office supplies to ensure optimal productivity. Qualifications Proven experience in office management or administrative roles with a strong background in clerical work and customer support. Strong communication skills, including phone and email etiquette for effective client interaction. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), as well as calendaring and data entry software. Excellent organizational skills with keen attention to detail and accuracy in typing, proofreading, and filing. Ability to maintain the highest standards of confidentiality and discretion.

From $21.00 per hour
