This role is vital in ensuring the office environment is efficient, welcoming, and well-managed. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will handle a variety of administrative tasks, support office management, and provide exceptional customer service to both internal teams and clients. Duties Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records Assist with filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace Support calendar management and scheduling for meetings, appointments, and events using digital tools Handle basic bookkeeping tasks such as invoicing, expense tracking, and record keeping with QuickBooks or similar software Provide customer support by responding promptly to inquiries via phone or email and offering helpful solutions Experience Prior office management or administrative experience is preferred, including clerical duties such as filing, data entry, and document proofreading Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience working with multi-line phone systems and providing excellent phone etiquette in a professional setting Bilingual abilities are highly desirable to assist diverse clients and team members effectively Knowledge of medical or dental receptionist duties, including calendar management for appointments, is a plus Personal assistant or medical receptionist experience can enhance your ability to manage multiple priorities efficiently Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment Join us as an Office Assistant where your enthusiasm for organization and customer service will make a meaningful impact every day!
