This person will support our Office Manager and Project Coordinator and be a key piece of day to day operations. Responsibilities Handle multi-line phone systems, screening calls, taking messages, and transferring calls efficiently Maintain accurate data entry records for project documentation, client information, and administrative files Support bookkeeping tasks using QuickBooks, including entering new customers, estimate, addendums and vendor bills Organize and file project documents and other essential paperwork systematically Assist with office management duties such as supply ordering, calendar scheduling, and appointment coordination Provide excellent customer service by responding promptly to customer questions and supporting team communication efforts Miscellanious other clerical duties under direction from office manager and project coordinator Requirements Must have at least one year of clerical or administrative experience in an office environment, preferably within construction or related fields Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) google calendar and basic computer literacy Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading Bilingual abilities are a plus to effectively communicate with diverse clients and team members Exceptional phone etiquette skills with experience managing multi-line phone systems and client communication Ability to handle confidential information discreetly while maintaining professionalism at all times Strong time management skills to prioritize tasks efficiently in a fast-paced setting Personal assistant or office management experience is beneficial for supporting daily operations effectively Join our company as and Office Assistant and become an essential part of our vibrant team dedicated to delivering excellent customer service while fostering a positive work environment.
