We are a small company of about 10 employees, established in 2014, and provide a variety of FAA-approved pilot license courses, commercial helicopter tours, charter services, aerial photography flights, gender reveal powder drops, and wedding proposal options. We run an active social media and participate in outreach and industry building events. We are a professional, agile, innovative organization and our goal is to redefine and elevate the helicopter experience.

Friday, Saturday & Sunday - office hours are 9AM-5PM; shifts include full-days or half days.

About the Role The Front Office Coordinator is one of the cornerstone positions within our company. As the face of our organization, you are often the first and lasting impression our customers have—your professionalism and communication will help shape our brand's reputation. This is a part-time, weekend position , ideal for someone with a flexible weekday schedule, such as a student. No prior aviation experience is required. Who We're Looking For You're a natural communicator with a strong customer service background, an eye for detail, and a proactive attitude. You thrive in a fast-paced environment and enjoy being a key player in a team. You're tech-savvy, organized, and take pride in helping others. Key Responsibilities Warmly greet all visitors and clients in person, over the phone, or via email with professionalism and enthusiasm. Manage and update scheduling platforms (Flight Schedule Pro and FareHarbor) to ensure accurate reservations, maintenance, and meeting coordination. Adjust daily availability on FareHarbor. Coordinate with instructors and staff to maximize flight scheduling efficiency. Respond to customer inquiries about services, pricing, and availability—accurately and promptly. Handle payment processing and support the continuity of the student block payment system. Perform general administrative duties such as filing, scanning, and data entry. Maintain detailed notes and effectively prioritize tasks throughout the day. Assist the Operations Manager with daily operations and special projects. Support student success by understanding their goals, tracking progress, and assisting with new student enrollment. What You Bring Minimum of 2 years in a customer service role (front desk or receptionist experience is a plus) Excellent verbal and written communication skills Professional phone etiquette and email correspondence Ability to multi-task and stay organized in a dynamic environment Strong attention to detail and self-awareness A team player with patience, adaptability, and persuasive interpersonal skills Why Join Us?
