THE POSITION
The Part-Time Department Secretary provides essential administrative and clerical support to the Police Department, ensuring efficient daily operations and consistent communication across internal units and external partners. This role supports command staff, assists with documentation and records management, and helps maintain the smooth functioning of front-office responsibilities. The position requires professionalism, discretion, and the ability to work effectively in a fast-paced, confidential environment. Examples of Duties
KEY RESPONSIBILITIES
Administrative Support — Perform clerical duties including answering phones, greeting visitors, scheduling appointments, and managing departmental correspondence. Records Management — Assist with filing, organizing, and maintaining departmental records in accordance with legal and departmental standards. Document Preparation — Draft, edit, and format memos, reports, meeting notes, and other official documents. Data Entry — Input and update information in departmental databases with accuracy and attention to detail. Support to Command Staff — Provide logistical and administrative assistance to supervisors, including preparing materials for meetings and coordinating internal communication. Front-Office Operations — Maintain a professional reception area, assist walk-in visitors, and ensure proper routing of inquiries. Confidentiality Compliance — Handle sensitive information with discretion and adhere to all departmental privacy and security protocols. Typical Qualifications
TYPICAL QUALIFICATIONS
Prior administrative or clerical experience preferred. Strong written and verbal communication skills. Proficiency with office software and basic database systems. Ability to maintain confidentiality and exercise sound judgment. Professional demeanor and ability to interact effectively with the public and department personnel. Ability to work part-time hours as assigned, including occasional flexibility based on departmental needs.
DESIRABLE EXPERIENCE AND TRAINING
Secretarial/Administrative Support experience (three 3 years preferred) Customer Service experience in a public-facing role. Multitasking in a fast-paced environment. Attention to Detail for recordkeeping and documentation. Familiarity with Law Enforcement Procedures (preferred but not required) Supplemental Information
