Job Description
Job Summary We are seeking a reliable and detail-oriented Administrative Assistant for a temp-to-hire opportunity in the Mission Viejo/Ladera Ranch, CA area. This role supports a busy home building, construction, and land development office where accuracy, organization, communication, and follow-through are essential. The Administrative Assistant will work closely with multiple team members to help keep documents, schedules, correspondence, records, and office workflows organized and on track. - Provide day-to-day administrative support to team members in a busy professional office environment.
- Maintain, organize, and update files, records, construction documents, and title-related documents.
- Transcribe recorded communications accurately and efficiently.
- Manage correspondence, scheduling, document preparation, and general office tasks.
- Use Microsoft Word, Excel, Outlook, and Dropbox to prepare documents, track information, and communicate effectively.
- Support multiple team members and projects while maintaining accuracy, confidentiality, and attention to detail. Compensation and Benefits
- Salary range: $47,840 to $52,000 per year.
- Job type: Temp-to-hire.
Schedule:
Monday through Friday, 8:00 AM to 5:00 PM, with a 1-hour lunch.- Dress code: Business casual. Required Qualifications and Skills
- Provide administrative support across office operations, communications, scheduling, and documentation.
- Maintain organized files, records, construction documents, and title-related paperwork.
- Accurately transcribe recorded communications.
- Support multiple team members and projects in a busy professional environment.
- Minimum 2 to 3 years of administrative experience required, with 3 to 5 years of experience strongly aligned with this role.
- Proficiency in Microsoft Word, Excel, Outlook, and Dropbox required.
- Minimum typing speed of 65 WPM with transcription experience required.
- Excellent written and verbal communication skills, including strong grammar and proofreading ability.
- Strong organizational skills, attention to detail, and ability to manage competing priorities.
- Ability to work independently, take initiative, and maintain professionalism in a fast-paced office.
- Positive, can-do attitude with a team-oriented approach. Preferred Qualifications
- Experience in home building, construction, land development, or a related industry.
- Familiarity with construction documents or title documents.
- Notary Public certification.
