Job Description

Property Management Administrative Assistant Full-Time | Southern California Join our dynamic team at a commercial real estate investment and property management firm! This energetic role is perfect for a detail-oriented professional eager to support property operations, enhance tenant relations, and streamline administrative processes. You will be the vital link ensuring smooth daily operations, compliance with lease regulations, and exceptional customer service. Responsibilities Monitor, organize, and respond to inbound and outbound emails on behalf of the property management team Coordinate and schedule appointments, service visits, and meetings with vendors, tenants, and internal team members Manage and maintain accurate data entry for property records, leasing information, and maintenance systems Assist with lease administration — tracking key dates, amendments, rent commencement, and tenant correspondence Support CAM (Common Area Maintenance) reconciliation tasks including data entry, expense tracking, and tenant billing Process and record vendor invoices and bill payments; maintain accurate payment records Support property maintenance requests by liaising with vendors, tracking work orders, and ensuring timely resolution of issues Handle customer service interactions professionally via phone and email, addressing tenant inquiries Prepare and maintain filing systems for legal documents, contracts, and compliance records; ensure confidentiality and organization Facilitate facilities management tasks such as coordinating repairs, inspections, and ensuring safety standards are met across commercial properties What We're Looking For Excellent customer service skills with the ability to handle sensitive situations professionally and diplomatically Demonstrated conflict management skills to resolve tenant issues effectively while maintaining positive relationships Experience in commercial real estate, property management, or administrative support preferred Familiarity with QuickBooks or similar accounting software a plus Knowledge of commercial facilities management practices and basic property maintenance procedures will be advantageous Strong written communication skills — professional email tone is essential Highly organized with attention to detail and ability to manage multiple priorities Proficiency in Microsoft Excel or Google Sheets Trustworthy and discreet in handling sensitive financial and tenant information Nice to Have Experience with CAM reconciliations or commercial lease terms Familiarity with platforms like Dropbox, Zapier, or similar tools Join us to be part of a dedicated team committed to excellence in commercial real estate investment and property management!
