This role assists with project tracking, invoicing, documentation, customer communication, reporting, and daily administrative activities to help ensure projects are completed accurately, efficiently, and on schedule. This is an excellent opportunity for a highly organized and motivated individual looking to build experience in project coordination, administration, finance support, or service operations. This position may be a great fit for a recent college graduate looking to gain real-world business experience or an experienced administrative professional looking to expand their skills in a technical service environment. The ideal candidate is dependable, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills, timely follow-through, professionalism, and the ability to handle occasional challenging situations with confidence are essential for success. Bilingual candidates fluent in both English and Spanish are highly desired. Primary Responsibilities Support project tracking activities from project creation through final billing and closeout. Enter and maintain accurate billing and project-related information within business systems. Prepare customer invoices and supporting documentation while ensuring accuracy and timely completion. Maintain project files, records, purchase orders, and required documentation. Track project-related costs including labor, travel expenses, materials, and parts. Review project charges to ensure proper allocation and accurate reporting. Maintain project tracking reports, including forecasting, revenue projections, purchase orders, and invoicing status. Provide customer and subcontractor support by responding to requests and assisting with required documentation. Assist with accounts receivable activities, including invoice follow-up and payment status inquiries. Support internal finance teams with reporting requests, documentation, and audit requirements. Review employee time entry and expense reports for accuracy and completeness. Assist employees with expense reporting, travel coordination, and administrative questions. Support vendor invoice processing and accounts payable activities. Maintain office documentation, correspondence, records, meeting schedules, and supplies. Assist leadership with administrative and operational support as needed. Maintain confidentiality of sensitive business and employee information. Perform other duties as assigned. Qualifications & Experience Associate degree in Business Administration, Accounting, Finance, or related field preferred; equivalent experience considered. Previous experience in administrative support, project coordination, customer service, accounting support, or office operations preferred. Experience with invoicing, purchase orders, expense reports, or financial documentation preferred. Manufacturing, industrial, technical services, or field service experience is a plus. Understanding of basic accounting principles preferred. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Ability to work independently while collaborating effectively with a team. Professional customer service mindset with the ability to communicate effectively with employees, customers, and vendors. Strong problem-solving skills and willingness to take ownership of assigned responsibilities. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Ability to learn and navigate ERP, CRM, and project tracking systems. Bilingual proficiency in English and Spanish is highly preferred.
