The Social Services Division of the Social Services Department is seeking an Office Assistant I to fill a vacancy. The ideal candidate should have experience with social services programs, particularly in assisting seniors and vulnerable population. The Office Assistant I will perform various clerical support functions of a responsible nature in different City offices. Assignments are limited in scope, and may include receptionist duties, typing, word processing, using simple spread sheets, data entry, simple report preparation, record keeping and filing. Depending on assignment, essential duties include, but are not limited to the following: Serves as receptionist, answers phones, takes messages or refers calls, greets, screens and refers visitors; answers general questions, referring more complex or technical questions to others; completes forms or documents from information provided by visitors. Types correspondence, forms, lists, cards, address labels using Microsoft Office programs. Edits, proofreads and corrects materials for completeness and accuracy. Composes routine correspondence. Prepares, sorts and files correspondence, documents, and other materials, maintains computer or hard copy files, accesses files or locates materials by conducting file searches. Makes copies of documents, forms or other materials. Maintains logs, spread sheets, inventories or records by transferring data manually or by computer; calculates totals and subtotals; completes forms. Receives, routes and distributes mail or other materials. Conducts and maintains inventory of supplies, equipment or parts. Operates a variety of standard office equipment including computers, copiers and facsimile machines.
PERIPHERAL DUTIES
Assists with special events sponsored by departments or the City. Delivers/picks up items when requested. Provides back-up to other office employees in department.
Knowledge of:
general office methods and procedures; Skill in: the operation of office equipment, including operation of a computer at 40 wpm net.
Ability to:
use correct English grammar, punctuation, and spelling; alphabetize, numerically or chronologically sort materials; receive the public in person or over the phone; establish and maintain cooperative working relationships. Education and/or Experience Any combination of education and/or experience that has provided the required knowledge and abilities.

Graduation from high school or equivalent and six months related work experience. Special Requirements Depending upon assignment, possession of or ability to obtain an appropriate California driver's license, and a satisfactory driving record, may be required.
