Job Summary A growing service organization in Oceanside, CA is seeking a Bilingual Administrative Assistant for a temp-to-hire opportunity. This role is ideal for an organized, detail-oriented administrative professional who enjoys supporting front office operations, employees, managers, clients, and vendors in a fast-paced office environment. The Bilingual Administrative Assistant will serve as a key point of contact for visitors, callers, field staff, and internal teams while providing administrative support across office operations, HR, payroll coordination, invoicing, documentation, and client support. Key Responsibilities
- Provide front desk reception coverage, including answering calls, routing inquiries, taking messages, and greeting visitors professionally.
- Support general office administration, including mail distribution, office supply ordering, document filing, inventory tracking, and spreadsheet updates.
- Partner with HR, payroll, and division managers to support applicant processing, pre-employment steps, onboarding, benefit enrollment, timekeeping setup, and termination processing.
- Assist with client and vendor invoice processing, facility invoice filing, proposals, contracts, and related administrative documentation.
- Support field staff by helping address timekeeping, pay, benefit, uniform, PPE, and general administrative needs.
- Coordinate office equipment, telecommunications, building maintenance services, and other ad-hoc administrative projects as needed. Compensation and Benefits

Office-based role in Oceanside, CA.- Occasional overtime may be required. Required Qualifications and Skills
- Provide administrative support across front desk operations, office coordination, HR support, payroll-related processes, invoicing, and document management.
- Maintain employee, client, vendor, inventory, and facility records with accuracy and confidentiality.
- Support onboarding, timekeeping setup, benefit enrollment coordination, and field staff administrative needs.
- Assist with client proposals, contracts, invoices, spreadsheets, and special office projects.
- Bilingual English and Spanish skills are required.
- 3 or more years of experience working in an office environment.
- Proficiency with Microsoft Office, including Word, Excel, email systems, and general PC applications.
- Ability to type at least 40 WPM.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a high-volume office environment.
- Strong verbal and written communication skills, including excellent writing ability.
- Ability to provide professional customer service to visitors, employees, clients, supervisors, and vendors.
- Ability to meet deadlines, maintain accurate records, and represent the organization in a positive and professional manner.
- Valid driver's license required. Preferred Qualifications
- 1 or more years of experience in the landscape industry preferred.
- Prior experience supporting HR, payroll, invoicing, field operations, or office management functions is helpful.
- Experience maintaining inventory for uniforms, PPE, office supplies, or facility-related materials is a plus.
