Job Description
Would you like to join in on the fun of a Boys & Girls Club during Summer Camps ? Do you have at least one year's experience working with a nonprofit and one year's experience in an administrative role? If so, please introduce yourself to us!! Boys & Girls Clubs of Northwest San Diego is seeking a Summer Camp Membership Clerk at our Oceanside Clubhouse in Oceanside from June 1st, 2026 to August 18, 2026. This is an IN-PERSON, Summer-Season only role that works at the main front desk in the Oceanside Clubhouse lobby Monday through Friday, approximately 4 hours/day to 5 hours/day. Here are more details about the position: The Summer Camp Membership Clerk will be responsible for maintaining the front desk, providing quality customer service ensuring the safety of Club members and maintaining all membership functions including TRAX's system entry and data maintenance (our registration system), payment collection, processing and membership files. The Summer Camp Membership Clerk provides regular clerical and administrative support to the Summer Camp Managers and campers. The individual will maintains schedules and calendars, answers telephone and maintains electronic and hard copy files. The Summer Camp Membership Clerk is also responsible for being a point of contact for walk in traffic, incoming telephone calls, granting access to the building, and supporting the highest level of customer service for members and visitors.Major Duties and Responsibilities:
Maintain the safety, security, and appearance of the front desk. With guidance from supervisor, maintain program, transportation, and rental calendar of Club activities and events, collecting and disseminating information to Club staff, volunteers, members and families as instructed. Answer telephones, providing general information, referring callers to other appropriate Department Programs for administrative staff or taking messages as necessary. Acknowledge and greet everyone who enters and leaves the Clubhouse. Greet, monitor and track all visitors and volunteers. Handle guests' questions and concerns professionally and courteously. Adhere to all Campsites, Money Handling, and BGCNWSD procedures by daily receiving, receipting and properly reconciling all transactions. (1) Receiving and receipting ALL payments in point of sale electronic system, entering transactions into electronic data systems for tracking of invoice and enrollment (2) Preparing end of day closing reports to verify all check, cash and credit card receipts and collections match deposited amount (3) Create and disseminate daily/weekly sign-in rosters based on program enrollment and payments received Maintain electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information. Maintain safety and incident reports with supervisor and parents as needed. Provide scholarship packets to members and verify data prior to giving to the Camp Lead. Enter member information into TRAX's data management system. Maintain accurate records relating to application intake, daily and ASP program attendance, parent information and member files. Assist programs with all reporting requirements involving the Club membership. Monitor sign in and sign out process and ensure attendance is tracked accurately Organize, track and update Parental Releases for child medication information sheets. Maintain office equipment. Attend all staff meetings, prepared with items needed for discussion or reporting. Assist in or perform other duties or special projects as needed by supervisor.Additional Summer Season Duties and Responsibilities:
The Summer Camp Membership Clerk increases work hours during summer season under the supervision of the Camp Lead. 1. Create activities in TRAX for camp sessions. 2. Complete all break prep work prior to camp session. 3. Payment processing and assignments of daily camp registration tasks. 4. Collect Camp registrations, process payment and collect outstanding payments in Campsite data system. 5. Prepare financial correspondence with parents in communication with Directors of Club Services and Camp Lead. 6. Format and print camp rosters and sign-in/out sheets for daily and weekly attendance. This includes field trips, specialty camps, and transportation schedules. Minimum Qualifications Education- High School Diploma, or GED equivalent. Experience
- A minimum of one year's work experience within a service organization or non-profit organization.
- A minimum of one year's direct related experience with administrative functions and customer service.
- A working knowledge of administrative and clerical procedures.
- Combination of education and related experience applicable.
- Prefer ability to speak and write in Spanish.
Pay:
$18.00 - $18.50 per hourBenefits:
