Administrative Assistant Intuitive Kids Therapy Orange, CA Job Details Part-time $22 - $26 an hour 18 hours ago Qualifications Spanish English Administrative experience High school diploma or GED Medical administrative support Full Job Description About the Role We are seeking a highly organized, dependable, and detail oriented Administrative Assistant to support the daily operations of a growing pediatric therapy practice. This position will assist with referrals, scheduling, client onboarding, family communication, and general administrative operations. This role works daily in our electronic health records and practice management system, along with Google Workspace. This is an excellent opportunity for someone looking for a consistent daytime schedule that works well with school age children. Bilingual English Spanish preferred Key Responsibilities Referral and Client Coordination Manage incoming referrals and coordinate scheduling. Communicate with referral sources and families. Monitor service authorizations and important deadlines. Coordinate progress reports and required documentation. Assist families with the onboarding process. Client Onboarding Create and maintain client records. Send intake and consent forms to families. Organize electronic client files. Set up parent communication channels. Confirm appointments and required documentation. Scheduling and Calendar Management Maintain and reconcile daily calendars. Prepare weekly schedules for therapists. Track therapist time off and school and daycare closures. Schedule supervision and other required meetings. Client and Family Communication Respond to phone calls, text messages, and emails. Contact families regarding appointments and makeup sessions. Respond to inquiries from prospective private pay families. Maintain accurate administrative records. Track cancellations, no shows, and late arrivals. School and Community Coordination Coordinate therapist availability with schools and daycares. Assist with establishing services at new school and daycare locations. Provide required therapist documentation to partner locations. Cancellation and Rescheduling Attempt to reschedule sessions when cancellations occur. Track cancellations that are not rescheduled. Ensure cancellations are properly communicated and documented. Communicate scheduling and cancellation policies to families. Qualifications High school diploma required; college degree preferred. 2+ years of administrative, healthcare, education, or customer service experience preferred. Experience in a speech therapy clinic, pediatric therapy practice, or similar setting preferred. Excellent organizational and communication skills. Strong attention to detail and ability to manage multiple priorities. Proficiency with Google Workspace, email, and spreadsheets. Experience with healthcare, education, or practice management systems preferred. Professional, dependable, and comfortable working in a fast paced environment. Ability to handle confidential information with discretion. Why This Position?
