Job Summary We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to senior executives and ensure the smooth operation of daily business activities. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to handle diverse tasks with confidence and professionalism. Duties Manage and coordinate complex calendars, schedule appointments, and organize meetings for executives, ensuring optimal time management. Prepare, edit, and proofread correspondence, reports, presentations, and other documents with precision and clarity. Arrange business travel plans, including flights, accommodations, transportation, and itineraries to ensure seamless travel experiences. Handle confidential information with discretion and integrity while maintaining data security protocols. Organize company events, meetings, and conferences from planning stages through execution to foster team engagement and professional networking. Facilitate internal communication by drafting memos, emails, and notices; serve as a liaison between executives and staff. Assist with bookkeeping tasks using QuickBooks or similar software to manage invoices, expenses, and financial records accurately. Support project coordination efforts by tracking deadlines, preparing materials, and collaborating with team members across departments. Operate office management systems including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and video conferencing software for virtual meetings. Maintain organized filing systems—both digital and physical—and ensure timely data entry and record keeping. Skills Proven experience as a Personal Assistant or Executive Assistant in a fast-paced office environment with strong organizational skills. Excellent written and verbal communication skills coupled with professional phone etiquette. Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and video conferencing tools like Zoom or Microsoft Teams. Ability to handle multiple priorities efficiently while maintaining attention to detail; adept at time management. Strong technical proficiency in office management systems including multi-line phone systems, calendar management tools (Microsoft Outlook Calendar), and document signing platforms like DocuSign. Experience with event planning—from small meetings to large corporate events—ensuring all logistics are flawlessly executed. Knowledge of bookkeeping software such as QuickBooks for managing invoices and financial documentation. Exceptional interpersonal skills for collaborating effectively with C-suite executives, colleagues, clients, and vendors. Discretion when handling sensitive or confidential information; trustworthy with company data at all times. Ability to adapt quickly to changing priorities while maintaining a positive attitude; proactive problem-solver committed to excellence.
