Duties Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Prepare, edit, and format correspondence, reports, spreadsheets, and presentations using Microsoft Office suite including Word, Excel, and PowerPoint Handle data entry tasks accurately within spreadsheets and databases such as QuickBooks for financial record keeping Schedule appointments, coordinate meetings, and manage calendars efficiently to optimize team productivity Provide exceptional customer support by addressing inquiries promptly via phone or email and assisting clients with their needs Support office management tasks including supply inventory, ordering materials, and maintaining office equipment Skills Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and productivity software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Demonstrated experience with data entry, filing systems, and clerical duties Exceptional communication skills—both verbal and written—with strong phone etiquette and client interaction abilities Technical proficiency in property management tools such as Appfolio and multi-line phone systems Bilingual capabilities are a plus to better serve diverse clients and team members Proven ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism Strong time management skills with the ability to meet deadlines consistently Join us as an Administrative Assistant where your organizational talents will shine!
