Monday, Tuesday, and Thursday, 8:00 AM-2:30 PM Our client is a growing, innovative fintech company looking for a polished, personable, and highly organized Receptionist / Office Manager / Workplace Coordinator to support its San Francisco office on a six-month contract basis. This is a hands-on role for someone who enjoys creating a welcoming workplace experience while also keeping the office running smoothly behind the scenes. The ideal candidate is proactive, resourceful, service-oriented, and comfortable working in a fast-moving environment where priorities can shift and taking initiative is valued.
•Please note, this is a 6 month contract, part-time role (20 hrs./week) located in San Francisco, CA. Pay will be $30-$35/hr.
•Responsibilities Serve as the welcoming first point of contact for employees, clients, candidates, visitors, and vendors. Manage the reception area and help create a professional, welcoming, and positive office experience. Greet and direct visitors and coordinate building access as needed. Answer and route incoming calls and respond to general inquiries professionally. Manage incoming and outgoing mail, packages, deliveries, and courier services. Own day-to-day office needs, ensuring the workplace is stocked, organized, clean, and running smoothly. Manage office supplies, snacks, beverages, and other workplace inventory; proactively reorder as needed. Coordinate with building management, vendors, cleaning services, maintenance providers, and other external partners. Help oversee office facilities and promptly address workplace issues as they arise. Coordinate conference rooms, meeting spaces, office setups, and other workplace logistics. Support team meetings, lunches, office events, and employee engagement activities. Assist with onboarding logistics, including preparing workspaces and coordinating new-hire office needs. Help maintain a polished and well-organized office environment that reflects the company's culture and brand. Monitor and coordinate repairs or servicing for office equipment and facilities. Track office-related expenses, invoices, and administrative records as needed. Anticipate employee and workplace needs and proactively identify solutions. Assist with workplace projects and process improvements. Provide general administrative and operational support to the broader team as needed. Handle sensitive and confidential information with discretion and sound judgment. Qualifications Previous experience in a receptionist, office manager, workplace coordinator, facilities coordinator, administrative coordinator, or similar role . Experience in a startup, technology, fintech, financial services, or other fast-paced professional environment preferred. Warm, polished, and professional presence with excellent customer service skills. Strong interpersonal skills and the ability to interact comfortably with employees, executives, clients, candidates, and vendors. Highly organized with exceptional attention to detail and follow-through. Proactive, resourceful, and comfortable taking ownership without needing extensive direction. Ability to juggle multiple priorities and adapt quickly as needs change. Excellent verbal and written communication skills. Strong problem-solving skills and a solutions-oriented mindset. Comfortable working independently in a small or lean office environment. Proficiency with Microsoft Office, Google Workspace, and standard workplace technology. Ability to coordinate effectively with vendors, building management, and internal stakeholders. Strong judgment and ability to maintain confidentiality. A genuine interest in creating a positive, welcoming, and efficient workplace experience. Must be available to work Monday, Tuesday, and Thursday from 8:00 AM to 2:30 PM , totaling 20 hours per week . Must be able to commit to the full six-month contract .
