About Us Active Environmental Solutions (AES) is a fast-growing environmental consulting firm specializing in asbestos, lead, and mold testing across Southern California. We support restoration companies, insurance carriers, property managers, and contractors with fast, defensible, and reliable testing services . Our company is built on speed, accuracy, and clear communication—helping clients navigate high-pressure situations with confidence. Position Overview We are looking for a highly organized, professional, and detail-oriented Office Coordinator to manage scheduling, client communication, and job coordination. This is a critical role in our operations —you are the central hub between clients, field technicians, and internal staff. You will be responsible for ensuring jobs are scheduled efficiently, clients are communicated with professionally, and projects move smoothly from intake to completion. Key ResponsibilitiesScheduling & Coordination Schedule field technicians based on: Location efficiency Urgency Lab routing requirements Confirm appointments and manage daily schedules Adjust schedules in real time as needed Client Communication Answer incoming calls professionally and confidently Respond to emails and inquiries in a clear, structured manner Communicate with: Restoration companies Insurance adjusters Property managers Homeowners Job Intake & Setup Collect and input job information: Client details Property address Scope of work Insurance information Create and organize job files Operations Support Assist with internal coordination between: Field technicians Office staff Ensure documentation is complete before moving to next stage Help maintain workflow from job intake → completion → billing Administrative Tasks Maintain organized records in Google Drive and CRM Support report coordination and documentation flow Assist with general office tasks and process improvements What We're Looking ForCore Traits Highly organized and detail-oriented Strong communication skills (phone + email) Professional and confident demeanor Ability to multitask in a fast-paced environment Problem-solver with strong initiative Experience Preferred Office/admin or scheduling experience Experience in: Restoration industry Construction Environmental testing (plus but not required) Familiarity with tools like: Google Drive CRM systems Scheduling platforms What Success Looks Like Schedules are efficient and optimized daily Clients feel confident and well-communicated with Jobs move smoothly through the pipeline Minimal errors in job intake and coordination Strong support to both field and office teams Compensation & Benefits Competitive hourly pay (based on experience) Performance-based growth opportunities Stable, growing company with long-term potential Why Join AES?
