Executive Assistant to the Founders About Us Singular Builders is a San Francisco-based construction company focused on delivering complex, design-forward, and technically demanding projects. Our work includes seismic retrofits, ground-up construction, urban infrastructure projects, and high-end commercial interiors across California and Arizona. The Role We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high-impact role that goes beyond traditional administrative support-you will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, multi-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors . Key Responsibilities Executive Support Manage complex and dynamic calendars, prioritizing competing demands Coordinate meetings with clients, consultants, subcontractors, and internal teams Draft and manage professional correspondence and internal communications Coordinate travel logistics and detailed itineraries Serve as a gatekeeper and liaison for executive communications, Operations & Project Coordination support active construction projects through documentation, scheduling, and coordination Track project deadlines, deliverables, and follow-ups across multiple teams Assist with permits, contracts, and project documentation organization Coordinate with project managers, subcontractors, and consultants Help ensure clear communication between office and field teams Financial & Administrative Support Track invoices, expenses, and reimbursements Assist with vendor coordination and basic bookkeeping Maintain organized filing and document systems General Support Assist with company events, meetings, and team coordination Build strong cross-functional relationships Take ownership of ad hoc projects and problem-solving as needed Qualifications 5+ years experience supporting executives or leadership teams Experience in construction, real estate, architecture, or related industries preferred Strong organizational and project coordination skills Excellent written and verbal communication Ability to manage multiple priorities in a fast-paced environment High level of discretion and professionalism Proactive mindset with strong problem-solving ability Bachelor's degree preferred but not required Technical Skills Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams) Google Workspace DocuSign and document management tools Familiarity with construction documentation is a plus What We're Looking For Someone who anticipates needs rather than reacts Comfortable working across office and project environments Highly detail-oriented with strong follow-through Calm under pressure and adaptable to changing priorities Interested in growing with a company over time Why Join Singular Builders Work directly with experienced founders on complex, high-quality projects Be part of a fast-growing company with real momentum in the Bay Area Gain exposure to both executive leadership and construction operations Play a meaningful role in shaping how a growing company operates Join a team that values quality, collaboration, and thoughtful problem-solving Compensation & Benefits Performance bonus Profit sharing 401(k) Health, dental, and vision insurance (with select plans 100% covered by the company) 4 weeks paid time off Paid holidays Work Environment This is an in-office role based in San Francisco (not remote) Occasional visits to project sites and meetings Some flexibility required based on project and executive needs Equal Opportunity Employer The Company is an Equal Opportunity Employer and does not discriminate on the basis of actual or perceived race, color, national origin, ancestry, sex (which includes pregnancy, childbirth, breastfeeding and medical conditions related to pregnancy, childbirth or breastfeeding), gender, gender identity, and gender expression, religious creed, disability (mental and physical) including HIV and AIDS, medical condition (cancer and genetic characteristics ), genetic information, age, marital status, sexual orientation, military and veteran status, denial of family and medical care leave, or any other characteristic protected by federal, state or local law.
