We are looking for a long-term team member who takes pride in being accurate, organized, and dependable. We are seeking a dependable, organized, and detail-oriented Administrative Specialist to join our team in Valencia, CA. We are looking for someone who is comfortable handling a variety of administrative, accounting, customer service, and shipping responsibilities in a busy manufacturing office. Responsibilities Process and invoice customer orders accurately and in a timely manner Enter and process invoices received from vendors Email invoices and other documentation to customers Answer incoming telephone calls and direct calls as needed Maintain organized electronic and paper filing systems Prepare domestic and international shipments using FedEx, UPS, and DHL Create shipping labels and prepare required shipping documentation Track shipments and assist with shipping-related questions or issues Maintain accurate customer, vendor, order, and shipping records Assist management and other departments with general administrative tasks Communicate professionally with customers, vendors, and employees Help keep day-to-day office operations organized and running efficiently Qualifications High school diploma or equivalent required Associate's degree in business, related field or equivalent practical experience is preferred Four years' bookkeeping experience Previous office administration, office management, or similar experience preferred Strong organizational skills and attention to detail Comfortable working with invoices, purchase orders, and shipping documents Basic computer skills, including Microsoft Outlook, Word, and Excel Experience with FedEx, UPS, and DHL shipping systems is a plus Strong written and verbal communication skills Ability to prioritize multiple responsibilities and meet deadlines Dependable, professional, and willing to work as part of a team We offer competitive pay, benefits plan and 401K with company match.
