This role is primarily responsible for accurate data entry, medical record maintenance, and clerical support to ensure efficient and compliant daily operations. You will play a key role in maintaining the integrity of patient records and supporting smooth communication between staff, providers, and referral sources. The ideal candidate is dependable, detail-focused, and comfortable working with electronic systems in a structured healthcare environment. Primary ResponsibilitiesData Entry & EMR Management Perform accurate and timely data entry into Electronic Medical Record (EMR) systems, including patient demographics, insurance details, referrals, and visit documentation. Maintain and update patient records in compliance with HIPAA and regulatory guidelines. Scan, prepare, and index incoming documents into the EMR system. Ensure all documentation is properly filed, organized, and retrievable for audits and compliance reviews. Clerical & Administrative Support Support daily office operations through general clerical tasks. File, organize, and archive clinical and administrative documents. Assist with preparation of forms, packets, and documentation for staff and audits. Maintain organized digital and physical record systems. Communication & Coordination Support Answer and route incoming calls professionally and courteously. Assist with responding to inquiries from patients, families, physicians, and referral sources. Help coordinate communication between internal staff and external partners as needed. Support the flow of information to ensure timely processing of documentation. Compliance & Documentation Tracking Ensure patient documentation is complete, accurate, and submitted within required timeframes. Track outstanding physician orders, plans of care, and visit notes. Follow up on missing or incomplete documentation as directed. Assist with maintaining compliance logs and reporting requirements. Insurance & Basic Administrative Support Assist with verifying insurance eligibility and benefits at time of referral or admission. Support collection and organization of documentation needed for billing and authorization. Communicate with internal teams regarding missing documentation affecting reimbursement. Office Support Maintain organized and stocked office and front desk areas. Assist with ordering office supplies and patient forms as needed. Support administrative team with general office tasks. Qualifications High school diploma or equivalent required; additional coursework in healthcare administration preferred. Minimum 1 year of clerical or administrative experience; healthcare or home health experience preferred. Strong data entry skills with high accuracy and attention to detail. Proficiency with Microsoft Office (Word, Excel, Outlook). Experience with EMR systems (DeVero preferred). Strong written and verbal communication skills. Ability to manage multiple tasks in a deadline-driven environment. Basic understanding of HIPAA compliance and medical terminology is a plus. Preferred Qualities Highly detail-oriented and organized.
