Job Description

Overview We are seeking a detail-oriented and organized Sales Administrative Assistant to support our sales team and daily office operations. This is an excellent opportunity for someone looking to start or grow a career in sales support, administration, or customer service. The ideal candidate will assist with order processing, customer account management, inventory coordination, invoicing, and outbound customer communications. Great for entry-level candidates who are eager to learn, develop professional skills. Responsibilities Maintain accurate records through data entry, filing, and updating customer information using tools like Acumatica, Excel, Outlook. Front desk operations by greeting visitors, and maintaining a welcoming environment. Organize and prioritize daily tasks efficiently using strong time management skills to meet deadlines and support customer service excellence. Process customer orders accurately and efficiently. Assist sales representatives with managing customer accounts and administrative tasks. Create and maintain sales orders in the company system. Make outbound calls to house accounts to follow up on orders, provide customer support, and identify sales opportunities. Coordinate closely with the warehouse team regarding product availability and inventory levels. Create, and process customer invoices. Ensure order, pricing, and customer information is entered accurately. Respond to customer inquiries regarding orders, products, and account information. Maintain organized records of sales transactions and customer communications. Support the sales team with reports, documentation, and other administrative duties as assigned. Skills Excellent organizational skills with keen attention to detail in clerical tasks such as filing, data entry, and proofreading. Strong communication skills with professional phone etiquette; bilingual ability is a plus. Excellent verbal and written communication skills. Ability to handle customer support inquiries with a friendly demeanor while maintaining confidentiality. Proven ability to multitask effectively in a fast-paced environment with excellent time management skills. Basic computer skills, including Microsoft Office (Word, Excel, Outlook).
