Monday-Friday | 8:30 AM-5:00 PM | Full-Time, 40 hours/weekPay:
$24.00-$28.00 per hour, depending on experience About the Position We are looking for a reliable, organized, and detail-focused Administrative Operations Assistant to join an established professional office in downtown Santa Rosa. This position provides hands-on administrative and operational support to ownership and the business, including coordination related to affiliated property management activities and tenant needs. The role is varied and requires someone who can stay organized, communicate professionally, manage details accurately, and follow assignments through to completion. In addition to administrative responsibilities, this position serves as a key point of contact for clients, tenants, vendors, and visitors and provides both front-desk and telephone coverage. The successful candidate will be comfortable in a structured professional environment, able to work independently, and capable of managing multiple responsibilities while maintaining a high level of accuracy and professionalism. What You'll Do Office Administration & Daily Operations Provide ongoing administrative support to ownership and business operations. Prepare, organize, review, and maintain documents, records, spreadsheets, and other business materials. Perform data entry, file maintenance, reporting, and general administrative tasks. Assist with accounts receivable follow-up and billing-related administrative duties. Coordinate conference room and shared meeting-space scheduling and usage. Monitor and maintain office, kitchen, and general supply inventories. Help maintain an organized, professional office environment. Assist with daily office opening and closing procedures. Support internal projects and ensure assigned tasks are completed in a timely manner. Property & Vendor Coordination Assist with communications involving property management activities, tenants, maintenance matters, vendors, and building operations. Help coordinate and track maintenance requests and related follow-up. Organize communications, records, and documentation related to property operations and construction projects. Maintain accurate information and ensure appropriate follow-through on operational matters. Reception & Professional Support Serve as a professional and responsive contact for clients, tenants, vendors, and visitors. Greet visitors and provide professional front-desk coverage. Answer and route incoming telephone calls appropriately. Receive, organize, and distribute incoming and outgoing mail, packages, and deliveries. Communicate clearly and professionally with individuals both inside and outside the organization. What We're Looking For Previous experience in a professional office, legal office, property management, office management, or administrative position is preferred. Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. A strong understanding of responsiveness, clarity, professionalism, and follow-through. Working proficiency with Microsoft Office, including Word, Outlook, and Excel. Ability to prioritize and manage multiple responsibilities in a busy office. Dependable, punctual, professional, and committed to maintaining a strong work ethic. Comfortable taking direction from ownership and leadership and carrying out assigned responsibilities independently.
