Job Description
Job Summary We are seeking an Administrative Assistant for a Simi Valley opportunity with a faith-based, values-driven business known for a positive team environment, supportive leadership, and a welcoming workplace culture. This role is ideal for an outgoing, detail-oriented administrative professional who enjoys supporting executives, coordinating office operations, and helping keep projects and daily business activities running smoothly. The Administrative Assistant will provide key support to management, employees, vendors, and visitors while handling a variety of office, project, accounting, HR, and property-related administrative tasks. This is a great fit for someone who is organized, proactive, professional on the phone, and comfortable managing multiple priorities in a fast-paced office setting. Key Responsibilities
- Support project-related administration, including ordering signage materials, creating purchase orders, preparing vendor invoices, maintaining job folders, and updating project management software.
- Manage daily office functions, including answering phones, returning voicemails, handling mail, ordering supplies, maintaining office areas, and coordinating office maintenance requests.
- Assist executive leadership with scheduling, travel arrangements, correspondence, property-related administration, vendor coordination, and document management.
- Provide administrative support to accounting and HR, including mailing vendor payments, filing documents, and assisting with employee-related administrative needs.
- Coordinate meetings, conference room setup, company events, birthdays, anniversaries, schedules, shipping labels, and other office support tasks.
- Communicate professionally with vendors, installers, tenants, employees, and visitors while maintaining a friendly and organized office environment. Compensation and Benefits
Pay:
$22 to $24 per hour.Schedule:
Monday through Friday, 8:00 a.m. to 5:00 p.m.Location:
Simi Valley, CA. Required Qualifications and Skills- Support project administration, including purchase orders, vendor invoices, job folders, completion photo requests, quote requests, and project management updates.
- Manage front office operations, phones, mail, supplies, scheduling, office organization, and vendor coordination.
- Assist executive leadership, accounting, HR, and property administration with documents, payments, schedules, and follow-up tasks.
- Coordinate meetings, travel arrangements, company events, calendars, shipping labels, and general administrative projects.
- Minimum of 1 to 2 years of experience in an office environment.
- Proficiency with Microsoft Word, Outlook, and Excel.
- Some knowledge of QuickBooks.
- Typing speed of 45 WPM or higher.
- Strong attention to detail with the ability to meet deadlines and follow through consistently.
- Excellent verbal and written communication skills, including professional phone etiquette.
- Strong proofreading, grammar, file management, letter composition, and general administrative skills.
- Ability to prioritize tasks, manage urgent requests, and work independently in a fast-paced environment.
- Organized, creative, intelligent, and solutions-oriented with a positive, team-focused attitude.
- Outgoing personality with a pleasant yet assertive communication style when needed.
- Comfortable working within a faith-based business environment. Preferred Qualifications
- Experience supporting executives, accounting, HR, or property-related administrative tasks.
- Experience using project management software or maintaining electronic job folders.
- Prior experience coordinating vendors, installers, office events, travel, or facility maintenance requests.
- Experience in a fast-paced small business or team-oriented office environment.
