Since 1988, our Compnay has completed over 50 million of square feet of commercial construction projects and tenant improvementsthroughout Southern California. As we continue to grow our client base, we arelooking to hire an Administrative Assistant to join our team. We are currently seeking a highly organized and efficient Administrative Assistant for our North County San Diego projects to support the VP of Operations. The Administrative Assistant will be responsible for supporting the on-site administrative needs of our construction projects as well as our corporate needs.
SpecificDuties:
Administrative Duties:
Facilitate correspondence, manage calendar, coordinate meetings, screen and prioritize calls, manage mail, organize team events Project support as directed by the Vice Presidents of Operations and Operations Manager, including but not limited to, agenda development, facilitation of collateral material preparation, event coordination, insurance documentation, requests for information, edit and proof documents as needed Distribute notices to project sites and residents' suites as needed; both physically and electronically Coordinate inspections, send calendar invites and schedule follow up events Keep organized corporate calendar Attend meetings as requested and provide draft meeting minutes to the Vice President of Operations Responsible for maintaining clean, organized office space and ordering office supplies Errands - Purchasing/pick-up office supplies, team meals, building plans Organize and systemize documentation as needed Photo document pre/post construction Support on site construction projects as needed
Skills Needed:
Ability to work independently with drive and initiative but also work well within a teamwork setting Detailed oriented, organized and flexible individual able to perform multiple tasks with varying priorities under conditions requiring speed and accuracy Professional in all communications with a high level of customer service Ability to present self in a professional manner and represent the company image Highattention to detail Maintain confidentiality of all CMP project work and client information Requirements High school degree, some college preferred but not required Must be able to work from 7:00am - 5/6:00pm (must be available for overtime) Proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Experience with OneNote is a plus.
