The Administrative Associate is responsible for supporting the administrative team in carrying out the operations of the school. The Associate, as based in the front office, is the first impression of the school and an ambassador of the school's mission and core values who approaches the work with a high level of energy and enthusiasm for students, colleagues, and the Presentation community. The Associate models a hard-working, genuine, and collaborative work ethic and exhibits humility and a commitment to collaboration, personal growth, and the team's success. The Associate must be an effective communicator both in written and oral communications, highly organized with an ability to motivate others. The Associate is open and responsive without judgment to the needs of the school, and practices professional discretion. The Administrative Associate reports directly to the Operations Manager and is supervised by the Head of School. The Associate works closely with the administration and faculty member and balances his/her role with respect, collaboration, and discretion. The Administrative Associate works closely with the Operations Manager overseeing the following responsibilities: Participates fully in the daily community life of the school, and extends beyond the responsibilities of a job description, when the need arises, and assists the Operations Manager and Head of School with all other duties as assigned. Attends all administration meetings, selected faculty meetings, and community events as assigned by the Head of School, including some evening and weekend events. Participates in administration collaboration and professional development activities and efforts. Provides general administrative support to the administration Provides general support to the Operations Manager in various areas, including checking in visitors and students, tending to student needs, filing, overseeing nurse and office supply inventory Manages the copier maintenance Manages the office kitchen, lost and found area and misc campus clean up Coordinates with the Hot Lunch volunteers and manages lunch supplies Covers yard duties, library and aftercare as needed Covers classrooms as substitute teacher as needed and directed by the Operations Manager Assists Administrative Team in ongoing projects, such as the School Fundraisers, annual Art show, Assemblies, Admissions Open Houses and misc summer projects
DAILY SCHEDULE
The instructional day begins at 8:15 am. The Administrative Assistant must be on campus by 7:45 am. Hours are minimally 7:45am to 3:45pm, with occasional overtime. Occasional evening and weekend commitments are required throughout the school year as identified by the Head of School. Qualifications and Skills Bachelor's degree preferred. Strong proficiency with technology including Apple products, Google Suite, and Excel. Database Management, and Experience with Student Information Systems, preferred. Excellent communication and organizational skills Warm, engaging presence with students and families Collaborative spirit, flexibility, and a growth mindset Proficiency in Spanish a plus Frequently required to walk, stand, sit, utilize hand and finger dexterity, talk and hear Frequently required to lift and /or move up to 30 pounds Requirements Cleared background check TB test clearance First Aid/CPR certification (or willingness to obtain) Schedule and Compensation Full-time, year-round, in-person, non-exempt position Hours are 7:45am to 3:45pm, with occasional overtime. Occasional evening and weekend commitments are required throughout the school year as identified by the Head of School. School located in Sonoma, CA (reliable commute required)
Salary Range:
