We are seeking a motivated Diabetic Program Administrative Assistant for a Full Time role working in a clinical setting. As a member of the health care team, the Diabetic Program Administrative Assistant provides support to the Diabetes Program and eligible patients of MACT Health Board. The Diabetic Program Administrative Assistant will:

Provide comprehensive administrative support to staff, providers and administrative personnel within the Diabetic Care Program.

Accurately document patient education sessions and follow-up care plans across multiple electronic systems.

Actively participate in interdisciplinary team meetings; assist with preparation, documentation and follow up tasks as needed. Support continuity of care by maintaining organized and up-to-date patient records, monitoring progress, and alerting the care team to any changes or concerns.

Contribute to the support of accreditation maintenance for the Centers for Disease Control (CDC) and American Diabetes Association (ADA).Manage the Diabetic Nurse Educators schedule, ensuring efficient use of time and coordination with patient needs.

Assist in fulfilling reporting requirements for the Indian Health Service (IHS) and Special Diabetes Program for Indians (SDPI) grant in collaboration with the Diabetic Nurse Educator.

Monitor and maintain data related to Government Performance and Results Act (GPRA) measures; ensure timely and accurate reporting.

Coordinate logistics for diabetes education classes, including scheduling, event setup, and materials preparation.

Prepare patient charts in advance of diabetes care visits, ensuring accuracy and completeness.

Manage departmental budget tracking and reporting in coordination with administrative leadership.

Order and maintain adequate supplies for the Diabetic Care Department.

Handle incoming calls, direct inquiries appropriately, take messages, and respond to routine questions with professionalism and courtesy.

Complete purchasing for SDPI grant funding, as assigned. Retain ongoing knowledge, documentation and submission of appropriate items needed to SDPI grant through GrantSolutions and SOS interfacesParticipation in required meetings for SDPI grant.
What you need:
Previous administrative or clerical experience in a healthcare settingProven ability to prioritize tasks and meet deadlines in a fast-paced environmentProficient in
Microsoft Office Suite:
Word, Excel, PowerPoint, Outlook, etc.

Current BLS/ALS certificateMust pass Occupational Health Screening.

Must possess a valid form of identification as listed on the U.S. Department of Justice I-9 form, verified using the E Verify system.

Clean DMV driving record and MACT auto insurance driving eligibility (determined by auto insurance carrier).The position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian health organizations which requires tact, courtesy, discretion, resourcefulness and good judgment in handling functions of a sensitive nature.
