Job Description

The Office Assistant - Guest Relations plays a key role in welcoming guests, coordinating daily check-ins, supporting guides, and helping keep daily operations running smoothly. This is a guest-facing position where you will interact with visitors throughout the day, assist with scheduling and communication, and help ensure each guest has a smooth and enjoyable experience. You'll be part of a small team where your work directly contributes to the success of daily tours and the overall guest experience. Key ResponsibilitiesGuest Communication & Reservations Answer incoming phone calls, texts, and emails from guests Respond to guest inquiries about tours, availability, and pricing Book reservations using company scheduling systems Send confirmations, waivers, and pre-tour instructions Maintain accurate guest and reservation records Guest Check-In & Front Desk Duties Welcome guests and manage daily guest check-ins Verify waivers and reservation details Provide guests with arrival instructions and tour information Communicate guest arrival updates to guides Maintain a friendly, professional, and welcoming front desk environment Guide Support & Scheduling Assistance Assist with daily tour scheduling and updates Communicate schedule details to guides Help ensure guides have accurate guest information Support daily coordination between guests and guides Assist with schedule adjustments when needed Administrative & Office Support Prepare daily check-in lists and schedules Maintain organized digital files and records Assist with opening and closing office tasks Help maintain a clean, organized, and guest-ready environment Support smooth and organized daily operations What a Typical Day Looks Like Opening the office and preparing for guest arrivals Reviewing the daily schedule and preparing check-in materials Responding to guest phone calls and messages Booking reservations and assisting guests Greeting guests and managing check-ins throughout the day Communicating updates with guides Supporting scheduling adjustments as needed Keeping the office organized and guest-ready Assisting with end-of-day closing tasks

Qualifications Required:
Strong communication and customer service skills Friendly and professional demeanor Comfortable interacting with guests in person Reliable and punctual Comfortable using computers and basic software Ability to multitask and stay organized Dependable attendance and reliability Preferred (but not required): Customer service or front desk experience Administrative or office experience Experience with scheduling or booking systems Experience working in tourism, hospitality, or outdoor recreation Schedule Expectations Part-time, in-office position located in South Lake Tahoe Typical shifts are between 9:00 AM and 5:00 PM Schedule may include opening and/or closing responsibilities Schedule supports daily guest arrivals and check-in operations Physical Requirements Ability to remain standing or seated for extended periods Ability to lift up to 25 pounds occasionally Ability to assist with maintaining guest areas
Compensation & Growth Opportunities Starting Pay Range:
