Role Overview:
As an Office Assistant, you'll work closely with our Office Manager supporting key administrative tasks. From setting up vehicle files to managing communication between the office and the warehouse and coordinating vehicle pick-up and drop-offs - you'll play a key role in enabling smooth operations, seamless client experiences, and up to date inventory records.
Key Responsibilities:
Own the set up and maintenance of vehicle files (digital & physical) Coordinate the scheduling of transport, deliveries, and appointments Manage our vehicle checkout process, ensuring vehicle are detailed and leave with the correct items Support communications between the office and the warehouse Answer phones and emails, supporting customer needs Assist with miscellaneous paperwork including sending purchase documents for digital signatures and filing signed copies Create weekly calendars of auctions ending and detail calendars to align with pick up schedules
Preferred Qualifications:
Clear communicator Strong organizational skills and attention to detail Customer service mindset Proactive Computer savvy - comfortable with Google Drive, spreadsheets, Adobe Acrobat, etc. Readiness to learn and work closely with our Office Manager Ability to commute to Newbury Park, CA and work in office
