Job Summary:
We are seeking a well-organized, detail-oriented candidate to join our administrative team. The ideal candidate will provide administrative support, handle various tasks efficiently, and contribute to the overall success of the office.
Primary Duties:
Carefully review engagement letters, audit documentation, tax filings, and client letters for grammar, spelling, punctuation, clarity, consistency, and formatting. Ensure all documents meet the firm's style guide and client-specific requirements. Check figures, dates, references, and terminology for consistency and accuracy, especially in financial statements and data-heavy documents. Edit documents for tone, clarity, and readability while maintaining professional and technical accuracy. Ensure documents are properly formatted according to firm templates and standards (e.g., headers, footers, spacing). Conduct final checks before client distribution or submission to regulatory bodies. Maintain quality management checklists and signoff procedures for critical deliverables. Track edits and maintain version control in shared documents. Manage deadlines and prioritize workload in coordination with project timelines and client deliverables. Handle private, privileged, and sensitive information with absolute confidentiality.
Additional responsibilities may include:
Assemble tax returns, financial statements, and other presentation materials. Copy documents. Scan client documents to digital filing system. Set up and maintain client information in firm database. Log invoices and tax return status in our practice management software. Maintain an orderly filing system for business and individual client permanent records. Assist with front office duties such as answering the phone and preparing and processing items to be mailed. Other duties as assigned by partners, managers, office managers, or Firm Administrator.
Job Qualifications:
Proficient knowledge of Adobe Acrobat and MS Office products (Outlook, Word, and Excel). Comfortable learning and using new software products, firm technology, and internal procedures. Strong communication and interpersonal skills. Willingness to grow and change as the firm grows. Ability to work under pressure with various deadlines.
Physical Requirements:
Must be able to remain in a stationary position 50% of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Able to occasionally move about inside the office to access file cabinets, office machinery, or greet clients. Able to position self to maintain files in file cabinets. The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. Able to move boxes weighing up to 40 pounds across office for various needs. The ability to observe details at close range and observe people entering and exiting the building. The employee must also have the ability to: Pay attention and focus. Follow instructions. Manage multiple responsibilities and tasks simultaneously.
