Office Assistant Tropics Mobilehome Park - Union City, CA 94587 Join Our Team! BC Personnel, Inc. is seeking a reliable, organized, and customer-service-oriented Office Assistant to join the team at Tropics Mobilehome Park, a professionally managed 55+ manufactured home community in Union City, California. This position requires a professional who can balance administrative accuracy with strong interpersonal skills while supporting community operations and resident relations. Position Summary The Office Assistant provides administrative support to the Community Manager and assists with the daily operations of the community. This position works closely with residents, prospective residents, vendors, and team members while supporting resident communications, recordkeeping, work order tracking, and general office administration. Essential Duties & Responsibilities Administrative Support Greet and assist residents, prospective residents, vendors, and visitors. Answer phones, route calls, and respond to inquiries promptly and professionally. Process applications, resident notices, and other community-related paperwork. Prepare letters, newsletters, notices, and other community communications. Manage incoming and outgoing mail. Maintain digital and paper files and ensure records are complete, accurate, and current. Enter and update information in company databases and software systems. Maintain office supplies and assist with general office organization. Provide administrative support to the Community Manager and office staff. Community Operations Support Coordinate maintenance requests and track work order completion. Assist with rent collection activities, issue receipts, and support related recordkeeping. Assist with scheduling meetings, appointments, and community events. Coordinate with vendors and contractors as directed by management. Report community maintenance, safety, and compliance concerns to management for follow-up. Perform other administrative duties as assigned. Resident Relations Provide excellent customer service to residents, guests, vendors, and visitors. Respond to resident inquiries in a timely and professional manner. Maintain positive and professional resident relations. Communicate courteously and effectively with residents, vendors, contractors, and staff. Confidentiality & Compliance Maintain confidentiality of resident, applicant, employee, and company information. Handle sensitive information in accordance with company policies and procedures. Follow all company policies, procedures, and workplace standards. Maintain a professional, organized, and welcoming office environment. Qualifications High school diploma or equivalent required. Previous office or customer service experience required. Property management, apartment community, manufactured housing community, or related experience preferred but not required. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Strong verbal and written communication skills. Strong organizational, time-management, and multitasking skills. Ability to maintain confidentiality and exercise sound judgment. Professional demeanor, positive attitude, and strong problem-solving abilities. Ability to work independently and as part of a team. Ability to communicate in Spanish or Vietnamese is preferred but not required.
