This role is vital in ensuring smooth administrative workflows, coordinating projects, and providing personalized support to help our leadership stay focused on strategic priorities. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, thriving in a fast-paced environment that values efficiency and professionalism. Duties Manage calendars and off site meetings for our Team leaders. schedule appointments, and services and manage logistics for some team members. Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and handling correspondence with professionalism. Coordinate projects by tracking deadlines and ensuring timely follow-up on action items. Oversee office management tasks such as filing, data entry, maintaining office supplies, and managing phone calls with some external providers. Assist with bookkeeping activities including invoicing, expense tracking, and basic financial recordkeeping. Support event planning efforts for company functions or client meetings, handling logistics from venue selection to materials preparation. Perform clerical duties such as filing, photocopying, scanning documents, and office managment responsibilities to ensure a welcoming environment. Requirements Proven experience as an administrative assistant or personal assistant with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications Experience with bookkeeping tasks and data entry accuracy. Excellent typing speed along with transcription and proofreading skills to ensure error-free documents. Strong project coordination abilities with the capacity to multitask effectively in a busy office setting. Exceptional communication skills demonstrating professional phone etiquette and customer service excellence. Office management experience including filing systems, front desk duties, and handling multi-line phone systems. Knowledge of office software tools such as Microsoft Outlook Calendar and Google Workspace for scheduling and organization. Ability to maintain confidentiality while managing sensitive information with discretion.
