Full Job Description Job Description:
We are seeking a highly motivated and detail-oriented Sales Office Admin Assistant to join our team. This full-time position is vital to supporting the daily operations of our sales departments and warehouse. The ideal candidate will possess excellent customer service skills and demonstrate proficiency in administrative tasks. This role involves a variety of responsibilities, including customer and vendor interaction, order processing, and office support.
Key Responsibilities:
  • Office Administration:
    Perform general office duties such as filing, scheduling, and maintaining records. Manage and process all freight invoices to ensure timely payments, and conduct weekly hardgoods inventory counts, reporting discrepancies as needed.
  • Customer and Vendor Interaction:
    Serve as the primary point of contact for vendors and customers, providing exceptional customer service by addressing inquiries, resolving issues, and ensuring satisfaction.
  • Technical Skills:
    Utilize Outlook, Excel, Teams and online applications for communication and data management while maintaining accurate and up-to-date records in company systems. Quick books knowledge a plus
Operational Support:
Assist the warehouse and sales departments with daily operations, including processing orders, data entry, billing, invoicing, and creating detail labels for all orders with proper shipment documentation. Understand and apply knowledge of freight handling characteristics and delivery requirements. Coordinate with carriers to ensure timely and accurate deliveries.
Physical Requirments:
Must be physically present on-site during work hours. Perform high-volume data entry with accuracy and efficiency. Utilize a computer for extended periods, including frequent typing and mouse usage. Frequent repetitive hand movements, including typing and using a mouse. Ability to sit for extended periods while working on a computer. Ability to lift up to 30 lbs as needed. Ability to walk and deliver labels to the warehouse team. Occasional in-person interactions with customers and vendors
Qualifications:
  • Bilingual in English and Spanish (required).
  • Strong customer service skills and Sales experience with a professional demeanor.
  • Detail-oriented with the ability to multitask and prioritize effectively.
  • Proficient in Microsoft Office Suite (Outlook, Quick booksExcel) and online applications. Tech Savy
  • Experience in order entry, billing, and invoicing is a plus.
  • Familiarity with freight handling and delivery requirements is a plus.
  • Ability to work collaboratively with the warehouse and sales teams.
  • Previous experience in a similar role is preferred but not required.
