This role combines in-office front desk responsibilities with virtual administrative support. Front Desk Responsibilities Greet every client warmly and professionally Check clients in and out Schedule, reschedule, and confirm appointments Answer incoming phone calls Respond to text messages and emails Process payments Sell skincare products and memberships Explain treatment packages and financing options Maintain a clean and welcoming reception area Prepare consultation paperwork Upload consent forms and photos Assist providers between patients Restock front desk and treatment rooms as needed Offer beverages and ensure an exceptional client experience Manage appointment waitlists Collect Google reviews Virtual Assistant Responsibilities Respond to website inquiries Follow up on leads Reactivate inactive clients Send promotional emails and text campaigns Maintain client database Create and organize spreadsheets Track inventory and place supply orders Coordinate provider schedules Assist with payroll and basic bookkeeping tasks Organize office systems and SOPs Manage vendor communication Research products, trainings, and equipment Assist with event planning Help with hiring coordination and onboarding Maintain online reputation by responding to reviews Perform additional administrative duties as assigned Qualifications Exceptional customer service Strong multitasking skills Excellent communication Highly organized Tech-savvy Experience with Canva, social media(preferred) Ability to work independently What We're Looking For We're looking for someone who: Takes initiative without being asked Loves making people feel welcome Has a positive attitude Is dependable and punctual Thrives in a fast-paced environment Learns quickly Pays attention to the little details Is coachable and eager to grow Treats every client like a VIP Represents our brand with professionalism and kindness Is passionate about aesthetics, skincare, and wellness Perks Employee discounts on treatments and skincare Continuing education opportunities Growth opportunities within the practice Positive, team-oriented culture Performance bonuses available
