$80 000 About Trinity Center Trinity Center is a nonprofit day resource center serving adults experiencing homelessness and poverty in Walnut Creek and surrounding communities. We provide practical resources, supportive services, case management, and pathways toward stability, housing, employment, and greater independence. We are seeking an organized, dependable, and mission-driven Operations & Administration Manager to help ensure that the systems and administrative functions supporting our programs operate efficiently, consistently, and with strong accountability. Position Summary The Operations & Administration Manager is responsible for supporting the day-to-day administrative and operational functions of Trinity Center. This role requires a highly organized professional who can manage multiple priorities, maintain accurate records, coordinate internal processes, and ensure that staff have the information and resources they need to deliver high-quality services. The successful candidate will be comfortable working independently, identifying operational gaps, improving processes, maintaining confidentiality, and following through on responsibilities from start to finish. Key Responsibilities Operations & Administration Coordinate and oversee day-to-day administrative and operational processes. Maintain organized records, files, forms, and operational documentation. Develop and maintain systems, procedures, and tracking tools that improve organizational efficiency. Support staff with administrative processes and ensure deadlines and required submissions are met. Coordinate purchasing, supplies, facilities, and other operational needs as assigned. Identify operational challenges and recommend practical solutions to the Executive Director. Support the implementation and consistent use of organizational policies and procedures. Data, Documentation & Reporting Maintain accurate operational and program-related records. Collect, organize, and track information required for internal reporting, funders, and organizational planning. Ensure required reports and documentation are completed accurately and on time. Support the maintenance of organizational dashboards and performance tracking systems. Assist with data quality and documentation reviews. Financial & Administrative Controls Support strong internal controls around organizational purchasing, payments, donations, documentation, and recordkeeping. Maintain accurate supporting documentation for transactions and administrative activities. Follow established approval and reconciliation procedures. Work collaboratively with the Executive Director, finance staff, and external partners to ensure accurate and timely administrative processes. Escalate discrepancies, missing documentation, or concerns promptly. Program & Staff Support Provide administrative and logistical support to program staff. Assist with onboarding, documentation, scheduling, and other administrative processes. Coordinate information and materials needed for staff meetings, trainings, workshops, and organizational activities. Help ensure staff understand and follow operational procedures. Support cross-department communication and coordination. Compliance & Risk Management Maintain confidentiality and appropriately handle sensitive organizational and member information. Ensure required documentation is maintained in accordance with organizational policies and applicable requirements. Assist with preparation for audits, reviews, inspections, and other compliance activities. Help identify operational risks and bring concerns forward promptly. Maintain accurate records to support organizational accountability. Other Duties Participate in staff meetings and organizational planning. Represent Trinity Center professionally when interacting with members, volunteers, vendors, partners, and community stakeholders. Support special projects and organizational initiatives as assigned by the Executive Director. Perform other duties consistent with the responsibilities of the position.
Qualifications Required:
3+ years of experience in operations, administration, nonprofit management, or a related field. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and follow-through. Ability to manage confidential information appropriately. Proficiency with Microsoft Office, Google Workspace, or similar productivity tools. Ability to work independently while collaborating effectively with a small, mission-driven team. Demonstrated ability to manage multiple priorities and meet deadlines.
Preferred:
Experience working in a nonprofit or community-based organization. Experience with operational systems, reporting, databases, or program administration. Experience working with vulnerable or underserved populations. Familiarity with homelessness services, housing services, or social-service organizations. Compensation & Benefits Salary:
$80 000 annually, depending on qualifications and experience. Benefits include those offered by Trinity Center and are subject to the applicable plan terms and eligibility requirements.
