Job Description

Job Summary We are seeking a Bilingual Spanish Admin Associate for a contract/temporary opportunity in Woodland Hills, CA within a healthcare services setting. This role is ideal for a detail-oriented administrative professional who enjoys supporting clinical operations, assisting clients and visitors, and helping a busy outpatient program run smoothly. As the first voice and face many clients, visitors, and partner agencies interact with, this position requires professionalism, kindness, confidentiality, and strong follow-through. The Bilingual Spanish Admin Associate will provide front desk, clerical, scheduling, documentation, and operational support while working closely with clinical staff, psychiatrists, and program leadership. The role offers exposure to healthcare administration, client services, clinical program coordination, and community-based support operations. Key Responsibilities
  • Manage incoming calls, greet visitors and clients, screen inquiries, direct callers, and handle referral calls according to established policies and procedures.
  • Provide administrative, clerical, data entry, documentation, filing, financial reconciliation, and front desk support for a clinical outpatient program.
  • Coordinate scheduling for psychiatrists, clinicians, doctor days, client check-ins, follow-up appointments, and other program functions.
  • Support psychiatry-related administrative logistics, including appointment reminders, schedule maintenance, pharmacy correspondence, provider communication, and faxed documentation requests.
  • Maintain confidential client records, upload and file documents, manage SharePoint or electronic files, prepare meeting notes, and assist with ongoing agency paperwork.
  • Handle operational support tasks such as mail, petty cash, office supplies, reports, errands, local travel, office equipment, and agency vehicle log maintenance. Compensation and Benefits

  • Assignment duration: 6+ months for leave of absence coverage.
