Job Purpose:

The Project and Sales Administrator bridges the gap between sales, project management, and field operations. From processing purchase orders to tracking project milestones, this role is responsible for managing the administrative lifecycle of deals. The Project and Sales Administrator position reports directly to the Service Manager- Projects.
QUALIFICATIONS
- 2+ years of project coordination experience
- (required)
- Proficiency in QuickBooks preferred
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Ensure compliance to safety requirements on the jobsite.
- Work with the Service Manager
- Projects to create and maintain an annual Projects calendar.
- Oversee and coordinate work orders, phases, and general progress of each project.
- Retain and organize all relevant documentation, files, and records for each project to ensure proper billing and inventory accountability.
- Facilitate messaging between Service Manager and Service Technicians.
- Collaborate with the Parts Manager to monitor inventory levels for each project to ensure that all required materials and equipment are available or on order with appropriate lead times.
- Accompany all third-party and internal inspections personnel on-site and implement the results into the project schedule.
- Fulfill the role as the primary contact person for all project administrative questions.
- Exemplify excellent financial stewardship by tracking expenses and maintaining an 'open to spend' in line with project budgeted parameters for each project.
- Receive and/or compose purchase orders in FieldEdge/QuickBooks.
- Compile a weekly sales metrics score card for the Sales Manager.
- Track open sales orders and compose sales orders as needed.
- Create estimates and quotes in QuickBooks with Sales Manager approval.
- Track commissions for applicable sales personnel.
- Document relevant competitor data.
- Document and respond to vendor requests and assist Sales Manager with vendor contracts.
- Hours generally 7:30am to 5:00pm, Monday
- Friday.
