Administrative Support Job Summary As a Health Assistant, you will play a vital role in supporting our health insurance agents by managing customer communications via phone and email, directing client inquiries, and maintaining optimal daily operations. Your work directly drives client satisfaction by assisting with enrollment processing, database management, and appointment scheduling. Key Responsibilities Administrative Support Answer inbound phone calls, direct inquiries to appropriate team members, and manage agent calendars. Greet walk-in clients, manage lobby hospitality, and direct visitors to their assigned agents. Proactively contact individual health clients prior to open enrollment to gather required details and schedule appointments. Coordinate pre-renewal meetings for group health clients. Process new client intake forms, update contact records, and manage the AMS360 database. Execute group health enrollments, disenrollments, and policy changes across carrier portals, Ease, and Employee Navigator. Assist in migrating data from Ease to Employee Navigator. Create, scan, file, and maintain Excel spreadsheets, reports, and physical documents. Prepare open enrollment meeting packets, as well as digital (DocuSign) and physical client correspondence. Provide dynamic operational support to agency personnel as needed. Client Service & Support Guide clients through submitting documentation for policy verification requests and compliance reporting. Collect necessary information from clients to update existing coverage or process new policies. Deliver professional, empathetic communication across phone, email, and in-person interactions to build long-term client relationships. General Office Operations Maintain a clean, professional, and organized office environment. Keep the client coffee station and lobby area fully stocked with supplies, stationery, and refreshments. Complete additional administrative and office support duties as assigned. Qualifications Strong verbal and written communication skills with a focus on customer service. High level of organization, attention to detail, and multi-tasking capability. Proficiency with Microsoft Office (Excel, Word) and comfortable learning new software platforms (AMS360, Ease, Employee Navigator, DocuSign). Prior administrative experience in insurance, healthcare, or customer service preferred.
