Columbine Lake Office Assistant Position Job Summary:

At Columbine Lake, we are committed to providing a high level of service to our community members. The Office Assistant serves as the primary point of contact for homeowners and plays a key role in maintaining a professional, responsive, and well-organized office environment. This position requires consistent, courteous, and solutions-oriented communication, along with strong administrative skills. The Office Assistant is responsible for managing daily office operations, maintaining accurate records, supporting homeowner needs, and assisting the General Manager with a variety of administrative tasks. Professionalism, reliability, attention to detail, and respectful interaction with all residents are essential for this role.

Schedule:

• Part-time, flexible schedule: 3-4 days per week; approximately 12 hours a week
• Preferred seasonal weekend availability from Memorial Day to Labor Day
• Additional hours available as a clubhouse staff attendant

Pay:

• $23-$25/hr.

Responsibilities (Regular job duties include but are not limited to) : Daily / Ongoing Office Duties Answer and manage Columbine Lake phone line Monitor and respond to email communications in a timely manner Provide in-person support to homeowners during office hours Address homeowner questions and requests promptly and professionally Accurately document and route all inquiries requiring escalation

Homeowner Services Support:

Issue and troubleshoot trash and lap swim access codes Create and replace homeowner badges Assist homeowners with AppFolio access, payments, and account questions Assist with Architectural Review Committee (ARC) platform navigation and issues Support new Short-Term Rental (STR) registrations Manage reservations for clubhouse and gazebo, complete deposit refunds Issue Pike Bounty payments

Administrative Duties:

Pick up and process incoming mail Mail outgoing items as needed Place supply orders for maintenance, clubhouse, and office needs Draft and send homeowner correspondence as directed Assist the General Manager with obtaining pricing for upcoming projects Prepare homeowner notices and compliance letters at the direction of the General Manager Maintain a clean, organized, and professional office environment Monthly Responsibilities Update and maintain the Columbine Lake website Complete required posting of meeting minutes (in-office, AppFolio, and website) Monitor office supply inventory and recommend restocking as needed Assist in preparing Board of Directors (BOD) meeting packets Distribute monthly BOD meeting notices to homeowners, including Zoom details Annual Projects Support annual voting process, including technical assistance, mailing, and coordination with the election committee for vote certification Administer the Boat Rack Lottery Manage annual STR permit renewals and required follow-up Support preparation and distribution of the community newsletter Training will be provided on the AppFolio portal, ARC intake and applications, and other community-specific systems.
