Office Coordinator Job description Aircraft Performance Group Aircraft Performance Group, LLC (APG) is a flight operations performance engineering firm, established in 1999, that specializes in Runway Analysis, Weight and Balance, and Flight Planning solutions for the airline and corporate flight operations industry. The aircraft we provide data for range from airline operated small turbo-prop aircraft (regional airline market) and wide body aircraft (international carrier) to corporate turbo-prop aircraft and large cabin ultra-long haul business aircraft. We maintain a current worldwide database of airport information (over 9000+ airports) and have experience in digitizing Airplane Flight Manuals for use within our own performance programs, as well as using aircraft manufacturer provided programs. We have experience in providing data based upon FAR, EASA and CASA requirements. APG is headquartered in Lone Tree, Colorado. flyapg.com The Opportunity We are seeking a self-driven and highly motivated Office Coordinator to support our team in our Lone Tree location. You will be responsible for coordinating and supporting our teams and providing administrative support as outlined below. As the Office Coordinator, you will report to our Chief Assistant Operations Officer and ensure the professionalism of the office and be the point person for all facility-related matters as a member of our high performing team. Position Overview Provide facility and administrative support to include the following while ensuring office efficiency is maintained and ensure that results are measured against standards: Provide general support to visitors; manage conference room calendar and cleanliness including stocking of refreshments Scheduling of conference rooms, meetings, and common space for leaders as requested Assist with travel reservations, expense reports and contact/calendar management for team as needed Participate actively in the planning and execution of office morale events (Holiday party, Leadership Events, Gifts) Coordinating travel for guest coming into the office. Answer incoming calls as needed. Ensure office readiness and professional presentation of facilities Maintain a safe and secure work environment for our employees and our visitors including monitoring of security access Be the point person for the daily open/close of our office; prepare the office in the mornings for daily operations (TVs on, trash removed, common areas restocked, clean glass and counters, etc.). Set up common areas for use daily including patio for additional meeting space (if no inclement weather is expected) Be the point person for mailing, shipping, supplies, equipment, bills, and errands; monitor building for needs and issuing work orders as needed. Monitor and maintain office supplies inventory; review and approve office supply acquisitions including furniture Maintain housekeeping/office monitoring schedule Maintain relationships with vendors•housekeeping, shredding, uniform supplier Orders and inventories executive swag Other duties as assigned Qualifications 2+ years of experience providing customer service in a professional office setting, Preferred. Strong Microsoft Word, Excel and Outlook skills Strong calendar management skills in Outlook required; video conferencing, Teams experience critical Strong office management and administrative skills including the ability to manage and organize hard-copy and electronic files, and filing system Strong written, oral, and interpersonal communication skills Exhibits attention to detail, good judgment, and professional etiquette Excellent time management and organizational skills Valid driver's license and clean driving record The "APG Way" APG's success is the direct result of our disciplined application of our core operating principles and drills, which are based on three main principles: Think 80/20 ("Important versus less important"), Act 30/30 ("Reduce waste and increase output"), and Live 90/10 ("We have each other's back").
