Overview We are looking for a friendly, organized, and dependable Part-Time Front Office Coordinator to help keep our office running smoothly. This is a hands-on administrative role that is ideal for someone who enjoys staying organized, working with people, and making sure the day-to-day details of an office are taken care of. The Front Office Coordinator will support the clinical manager and team with daily administrative tasks, scheduling, communication, organization, and general office upkeep. The ideal candidate is proactive, detail-oriented, professional, and comfortable working independently while also being a team player. Responsibilities Greet clients, families, and visitors in a warm and professional manner Answer phone calls and take messages Assist with paperwork, forms, filing, and scanning Enter and update information in office systems Monitor office supplies and place orders when needed Organize and maintain the front desk and common office areas Receive and organize mail, packages, and deliveries Communicate with staff regarding office needs Help prepare the office for the next day and ensure everything is organized Assist with occasional projects and other administrative tasks Maintain confidentiality and professionalism when handling client and business information Qualifications Previous administrative, receptionist, office coordinator, or customer service experience preferred Excellent organizational and time-management skills Strong attention to detail Friendly, professional, and approachable communication style Comfortable speaking with clients, families, and staff Proficient with email, Microsoft Office, and basic computer systems Ability to learn new software and office systems Reliable and punctual Able to multitask and prioritize responsibilities Comfortable working independently and taking initiative Must be able to maintain confidentiality Join us in making a meaningful difference in the lives of children by ensuring our front office runs smoothly!
