Job Description

We are an established CPA and tax preparation firm seeking a friendly, organized Administrative Assistant who enjoys helping clients and keeping a busy office running smoothly. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in providing excellent customer service. Our office is friendly but very active, especially during tax season, and the right candidate enjoys staying busy, helping clients, and jumping between tasks throughout the day. You will be the first point of contact for clients while also providing administrative and clerical support to our accounting team. Responsibilities Answer and direct incoming client phone calls Greet clients at the front desk and provide excellent customer service Schedule appointments and manage the firm calendar Troubleshoot and resolve technology issues as they arrise Tax return processing (assembling, validating and packaging returns) Send and receive documents through DocuSign and secure client portals Assist with billing, collection and payment processing Scan, organize, and maintain electronic client files Assist accounting staff with administrative support tasks Help maintain office organization, appearance, and workflow Qualifications Strong customer service and communication skills Ability to multitask and stay organized in a fast-paced office and maintain confidentiality at all times Comfortable answering phones and interacting with clients throughout the day Detail-oriented with strong follow-through Positive attitude and willingness to work as part of a team Comfortable using office technology and learning new software Prior administrative, front desk, or office experience is preferred. However, if you have limited office experience but have strong customer service skills, are ambitious, enjoy learning new things and are confident in your abilities to figure things out, we would love to hear from you. We are happy to train the right person who is motivated and up for the challenge of learning the industry. Schedule Requirements Monday-Friday, 9:00 AM•5:00 PM Saturday availability required during tax season (February•April 15) Tax season is our busiest time, so the ideal candidate enjoys working in an environment where the days move quickly and teamwork is important. Pay:
$19.00•$23.00 per hour
