QUALIFICATIONS
1) Possesses to a high degree those skills necessary for effective verbal and written communication with all stakeholders in a multi-task, fast-paced environment. 2) Possesses to a high degree those skills necessary to develop spreadsheets, databases, and documents including manipulation between programs in a Windows and a Google platform. Ability to create reports utilizing spreadsheets, databases, and word processing documents through use of the MS Office and Google Suite packages. 3) Possesses a comfort level and/or ability to adapt to various computer programs that may be utilized for desktop publishing, system-wide financial system, basic accounting functions, and student information system. 4) Skills and knowledge required would generally be acquired with an Associate's Degree in Secretarial Science and/or three years of high level secretarial experience, preferably in the public sector.

JOB GOAL
Seeking a detail-oriented and organized Administrative Assistant to support the Supervisor of Health Services. This position plays a vital role in the day-to-day operations of the district's health services department, ensuring smooth coordination among school nurses, students, families, and district leadership across the public and private schools we serve.
PERFORMANCE RESPONSIBILITIES
1. Secure coverage of school nurse/health aide, for the school day, Camp Jewell Nurse, and school field trips, etc. Process Health Services staff sick calls on weekends, evenings, and mornings. Maintain coverage calendars. 2. Responsible for reporting systemwide Health Services staff attendance. 3. Prepare time cards for weekly staff and substitute nurse payroll. 4. Maintain license compliance for all nurses and substitute nurses. 5. Provide comprehensive administrative support to the Supervisor of Health Services, including calendar management, meeting coordination, budget preparation and report preparation. 6. Responsible for the purchase, inventory, and distribution of health and medical supplies for all district school Health Services, as well as maintenance of service contracts and annual rentals. 7. Provide district troubleshooting for all health services staff on the use of health management computer program (SNAP). 8. Responsible for systemwide student withdrawals and entrance for health requirements. Track all new student enrollment and withdrawals. Obtain from families the required health records to enter school and collaborate with the district Enrollment Coordinator. Maintenance of student records, including forwarding of records as required. 9. Coordinate health eligibility requirements for student participation in the high school's athletic program. 10. Assist Supervisor of Health Services and district nurses with communication with the Benefits Coordinator regarding work related injuries workmen's compensation carrier and health provider as needed. 11. Coordinate district wide collection of biohazard waste for annual disposal. 12. Maintain complete confidentiality in all matters pertaining to the integrity and security of materials and information relating to the students, families, and personnel of the Simsbury Board of Education. 13. Assist with coordination of district-wide health initiatives, screenings (Vision, hearing, postural) and nursing staff professional development days. 14. Assist (remotely) with attendance at elementary schools, when the primary nurse is out. 15. Coordinate interview process for new staff, follow up with onboarding process (including orientation schedules) for new nurses and new substitute nurses. 16. Reimbursement processing for staff. 17. Track field trip process for schools. 18. Assist with tracking of ESY and DCE summer programs. 19. Perform such other tasks and assume such other responsibilities as the Supervisor of Nursing may assign. 20. Contributes to a team-oriented atmosphere.
TERMS OF EMPLOYMENT
12 Month work year (29.5 hours per week). Salary according to negotiated contract between the Simsbury Board of Education and the Simsbury Federation of Educational Personnel.
EVALUATION
Performance of this job will be evaluated annually in accordance with the Board's policy on evaluation of Non-Certificated Human Resources.
